Oral presentation

  • Each presenter has 10 minutes and a short Q&A session (~3 minutes) to present his findings;
  • Prepare your presentation (PowerPoint or PDF exclusively) before the conference using the mandatory template;
  • A computer will be provided in the room with a video projector. You should have your presentation on a USB key ready for the chairman or the local organizer (do not send it by e-mail to the organizing committee);
  • Please go to your session room 10 minutes before your session to meet the chairman and upload your file on the computer. Check that everything looks good before your talk.

 

Poster presentation

  • Bring your poster to the conference with a format A0 (or A1 if necessary), using the mandatory template. There is no possibility of printing on-site;
  • Hang your poster between 8 am and 10 am the day of your session, and remove it at the end of the day (18h30 the latest).
  • Local organizers will:
    • Give you all the necessary materials to hang your poster;
    • Organize posters by topics
    • Ultimately check if posters and research are present during the session

 

No-Show Policy

The IEEE ISGT Europe is a live conference that depends on the presentations given during their sessions, and discussion after the talks and in the breaks. Authors who fail to present their papers leave a gap in the program, which is unacceptable for the conference audience.
IEEE ISGT reserves the right to preclude authors who do not present their papers at the conference from having their papers published in IEEE Xplore.
Obligations of authors and presenters:

  • For each accepted paper, one author needs to register to attend the conference and present the paper in the assigned session, either in a talk or as a poster, according to the respective track.
  • If the authors have or anticipate, unforeseen circumstances endangering or preventing the presentation, the Program Chair must be contacted immediately. Any alternative arrangements require approval by the chair.

IEEE Formatting guidelines and specifications

  • The paper limit is 5 pages.
  • Ensure the paper must strictly follow the IEEE conference templates (LaTeX and MS Word): PES Authors Kit, available here (section “PES conference”).  Note: We require all submissions to be in A4 paper size format. Please make sure to add the “a4paper” option in the \documentclass specification if you are using the LaTeX template: \documentclass[conference,a4paper]{IEEEtran}
  • Add the copyright notice to the bottom of the first page of your source document, following these instructions:
    • For papers in which all authors are employed by the US government, the copyright notice is:
      U.S. Government work not protected by U.S. copyright
    • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 979-8-3503-9042-1/24/$31.00 ©2024 Crown
    • For papers in which all authors are employed by the European Union, the copyright notice is: 979-8-3503-9042-1/24/$31.00

    • Proofread your source document thoroughly to confirm that it will require no revision.
    • Generate the paper in PDF format and then validate it using IEEE PDF eXpress. No Validation may PREVENT publishing your paper.
    • Log in to the IEEE PDF eXpress™ site
  • First-time users should do the following:
    • Select the Create Account link.
    • Enter the following:
    • 62998X for the Conference ID
    • Your email address
    • A password
    • Continue to enter information as prompted.
  • An Online confirmation will be displayed, and an email confirmation will be sent verifying your account setup. Please, check your inbox or junk mail.
  • Previous users of PDF eXpress need to follow the above steps but should enter the same password that was used for previous conferences. Verify that your contact information is valid.
  • Introduce the required information and click on Dashboard. Follow the instructions to validate the PDF file of the paper and wait for the result of the compliance analysis.
  • Submit the PDF file on conference

Only if the check for compliance with PDF eXpress was successful, you can submit your paper. The paper submitted at the conference system must have a proof of full compliance generated by the PDF eXpress facility. Papers without the compliance proof will not be included in the IEEE Xplore data base.
